Steps in the
Setup of your Custom Newsletter
Step 1. Template Creation
We will create a custom template (the layout), designed
similarly to your website. *Although a website is not absolutely
required, it is, in reality, your "office on the internet". If
you need a website or need to have yours updated to better
reflect the professionalism of your practice, let us know and
we'll get you the help you need.
Step 2. Integrate your email address list
Once you approve your custom template and have decided we will
make a good team, we will ask for your client email address list
to create an account for you. This account is through a secure
service and the email addresses are never sold or loaned or used
for any purpose other than sending YOUR email newsletter to your
clients and prospective clients. We provide clear instructions
on how to send this information to us.
Step 3. Create Newsletter Sign Up for Website
and Office
We will create a "newsletter sign up" to be placed on your
website. This will allow you to automatically offer a
subscription to your newsletter to anyone who visits your site.
This is designed to assist you in acquiring new readers
who ideally will become your clients. This code will be sent to
the webmaster who handles your website maintenance.

We will also create a "Sign Up for Our Newsletter" document file
that you can print as you need.

Step 4. Newsletter Topic Selection
You choose up to four topics/treatments/procedures that you wish
to include in your newsletter. We will create specific lead-in
content with direct links to your website and the associated
information pages on your site. If you don't see the topic you
want in our list, just ask. We'll make sure you get what you
want.

Step 4. Newsletter Draft, Review and Approval
You will receive a draft newsletter for your review and editing
if desired. Once this is done and the newsletter is reviewed and
approved, a date will be chosen for the "broadcast" of your
newsletter to your email list.
Step 5. Newsletter Broadcast , Monitoring and
Report
Your newsletter is sent to your email list and monitored for
delivery. After two weeks you will receive a full report on the
number of emails sent, the number of emails which may no longer
be in use (along with these addresses if you request them), the
number of emails which were read and the percentage of "click
thru" (the number of readers who clicked the links to your
site.)
Step 6. Topic Selection for Future Newsletter(s)
You select topics for the next newsletter. This can be done as
far in advance as you wish, but we do ask for at least a two to
three week lead to properly format and create content for your
newsletter.
Length of contract
You are never "bound" to any number of newsletters on any
particular frequency, although once a month is the maximum
interval we suggest. Your readers will come to expect your
newsletter and one that arrives on a regular basis is
statistically shown more likely to be opened and acted upon.
Our promise to you: If at any time you
feel our services are not enhancing your image or improving your
relationship with your clients, you are under no obligation to
continue. The only contract we require is for the first
newsletter and the initial setup and this only after you have
approved your custom template.
